PP Woven Bag RFQ Checklist: What to Send for a Quote

You do not need a complete technical specification to start an enquiry. Tell us what you know, and mark the rest “Not sure.”

A request for “25 kg PP woven bags” is a starting point, not a complete specification. Woven bags come in different sizes, fabric specifications and laminated or unlaminated constructions, so the intended filling weight alone does not identify the bag you need.

Use the checklist below to prepare your request for quotation, or RFQ. It covers standard PP woven sacks, including BOPP laminated versions—not FIBC bulk bags.

The first section provides a starting point for the discussion. Any missing specifications or pricing assumptions should be clarified before you approve an order.

Do not wait for a finished specification to flag an important requirement. Mention direct food contact, hazardous contents, required testing or documentation, and any fixed delivery deadline in your first message.

For multiple sizes or artwork versions, separate the quantities rather than giving only one combined total.

How to fill in the details

Product, filling and storage

Name the product rather than writing only “agricultural material” or “powder.” Include the intended net weight per bag, whether filling is manual or automated, and how the filled bag will be closed.

Describe any concerns such as moisture exposure, fine-powder leakage, stacking or outdoor storage. Woven-bag specifications can include different moisture-protection, anti-skid and UV-resistance features; these should be reviewed against the intended use rather than assumed to be included.

Not sure how to describe the requirement? Explain what happens in practice: “The bags are stored under a roof but may get wet during unloading,” or “Our current bags release dust around the bottom seam.”

State the problem without guessing which material change will solve it.

Dimensions and bag construction

Provide the finished bag dimensions and label the units. For an existing bag, send a photo or sketch showing where each measurement was taken. Include any side folds or gussets, and distinguish the bag’s top opening from its bottom construction.

Also describe the filling opening and how you close it after filling. Woven PP bags are available in different formats, including open-mouth and valve constructions, so these details should not be left to the supplier’s assumption.

Record coating or lamination and any separate inner liner as individual requirements. Avoid describing all of them simply as “an extra layer.”

No confirmed dimensions? Send the intended filling weight and photos of a suitable existing bag. Mark dimensions as unconfirmed rather than copying a size from an unrelated product.

Fabric and material requirements

Share an existing fabric specification when available, including any agreed material-content requirement, fabric colour and weight.

GSM means grams per square metre: a measure of material mass per unit area, not the weight of one finished bag. Fabric mass per unit area is also the measurement addressed by ASTM D3776/D3776M.

When supplying a GSM figure, ask for the quotation to identify whether it refers to the base woven fabric or the complete coated or laminated material. If you have weighed an empty bag, report that separately as grams per bag.

Do not know the fabric specification? Write “Not sure,” attach the old specification if available, or mention that a physical sample can be provided. Do not invent a GSM figure just to complete the enquiry.

Printing and appearance

Describe which sides need printing, the text or graphics required, and any colour-matching requirements. Attach your existing artwork or a reference image, and identify whether it is final or still being developed.

For BOPP laminated bags, state any preference for a matte or glossy finish. Both finishes and detailed multicolour printing are available within this product category, but the exact construction and printing requirements still need confirmation.

No production-ready artwork? A description such as “our logo and product name on both sides” is enough to begin discussing the design requirements. Ask what files and approvals will be needed before printing.

Quantity and delivery

Give the expected quantity for each size and print design. An estimate is acceptable for an initial discussion; label it as an estimate.

State the destination country and port or delivery city. Include any preferred shipping arrangement, packing method or pallet requirement you already know.

For timing, distinguish between when the bags should leave the factory and when you need to receive them. Use a calendar date for a fixed deadline.

Still planning the order? Explain whether this is a trial purchase, a replacement order or an expected repeat requirement. Avoid presenting a possible annual volume as a confirmed first order.

Already using a bag? Show what needs to change

Send photos of the full bag, its opening, bottom and any liner, together with an existing specification if available. Mention whether an unused sample can be supplied, and confirm the shipping arrangements before sending it.

Then describe what should remain unchanged and what needs improvement.

For example:

Keep the current dimensions and artwork. Review the bottom closure because powder escapes during handling. Please identify any proposed material or construction changes in the quotation.

This gives the supplier a specific problem to review without treating “better quality” as a measurable specification.

Before accepting the quotation

Use your enquiry as a reference, but ask for the quoted specification to be written down clearly.

Check the dimensions and tolerances, fabric and layer construction, closure, printing, quantity per version, packing and delivery arrangements. Ask for setup charges and shipping costs to be identified where applicable.

Any assumption made because information was missing should be visible in the quotation—not left for you to discover when the bags arrive.
